The reason a switch costs more than the seconds it takes has a name in the research literature: attention residue. What context switching actually costs you
The term comes from work by Sophie Leroy, whose paper Why is it so hard to do my work? The challenge of attention residue when switching between work tasks was published in Organizational Behavior and Human Decision Processes. The core finding is uncomfortable and very familiar: people have real difficulty pulling their attention away from an unfinished task, and their performance on the next task suffers because of it. You are not slower because you are tired. You are slower because you are still running the previous job in the background.
Leroy has described the effect as windows staying open in your head. You can move your body to a new task, open a new document, join a new call, but the cognitive process behind the old task keeps consuming capacity. Two tasks are now sharing an attention budget built for one. Neither gets the whole thing.
This reframes what a switch is. The expensive part is not the transition itself, the clicking and the scrolling and the finding your place. The expensive part is the unfinished state you carry across the boundary. A task you truly closed costs almost nothing to leave. A task you abandoned mid thought follows you around for the rest of the afternoon.
Why you never notice the bill
Context switching is invisible in every system you use to look at your day. Your calendar shows the thirty minute meeting. It does not show the twenty minutes of degraded work afterward while your head is still in the meeting. Your task list shows what you completed. It does not show the four tasks you touched, half loaded, and put back down. Time tracking tools record the hours you sat at the desk, not the fraction of your attention that was actually present.

When people were interrupted, they took roughly a minute to note where they were stopping, what was left unresolved, and what they would need to pick up later. According to the University of Washington announcement of the study, which drew on a field survey of 202 working professionals plus a set of lab experiments, people who wrote that plan showed reduced attention residue and performed better on the interrupting task, making better decisions and recalling more information than people who switched cold.
Read that finding carefully, because the payoff is counterintuitive. The plan did not mainly help them return to the first task later. It helped them do the second task better right now. Writing the note is not admin overhead you pay for future you. It is what buys back your attention for the next thirty minutes.

The friction point is obvious: this only works if writing the note is faster than the thought you are trying to save. If capturing it means unlocking your phone, finding the right app, choosing a list, and typing four lines, you will skip it exactly when the day is busiest. Cut the number of forced switches
Closing loops makes switches cheaper. The other half of the work is having fewer of them forced on you. None of this requires a new system, and you can do all of it this week.
- Batch your lookups. Keep one running list of things to check, and check them in a single pass. The point is not efficiency, it is that each lookup no longer costs you an open loop.
- Give stray thoughts one destination. If a thought about the dentist has to compete for a home, it stays in your head instead. One inbox you trust, reachable in two seconds, absorbs the whole class of interruption.
- Put recurring interruptions on a schedule. If the same person needs the same thing every day, a standing five minutes at a fixed time removes five unplanned switches.
- Decide the shape of the day before it starts. You do not need a rigid plan, just a decision about which two or three blocks belong to which work, so that every transition is not also a decision.
- Turn off the notification classes, not the individual notifications. Muting one chatty group chat is whack a mole. Deciding that no app in a category may interrupt you before noon holds up.
- Protect the first block of the day. It is the one you can actually defend, and it is usually the one with the least residue, because you have not accumulated any open tasks yet.

What to do when the day is already fragmented
Some days cannot be saved. You have six meetings, a sick kid, and a phone that will not stop. Trying to run deep work through that day produces nothing except a sense of failure. The move is to change what you are attempting, not to fight the day.
Pick work that survives interruption. Reviewing, replying, filing, small decisions, and errands all tolerate being chopped into pieces, because each piece is complete on its own. Save the work that needs a long runway for a day that has one. Matching the task to the shape of the day is not lowering your standards, it is refusing to spend your best work on hours that cannot hold it.
Then, if you can defend exactly one block, defend it. One protected hour with a closed loop on either side is worth more than five hours of fragmented presence. Choosing that block in advance is the part most people skip, and it is the same choice at the center of time blocking versus a plain to do list. A block is not a promise to the calendar, it is a decision made once so you do not have to make it again while tired.
At the end of a fragmented day, spend two minutes writing the open loops down before you close the laptop. Not a plan for tomorrow, just an inventory. The relief people feel from that is not organizational, it is cognitive. You are telling your working memory it can stop holding six things at once.
Is context switching the same as multitasking?+

Do focus timers like Pomodoro fix context switching?+
Partly. A timer helps because it creates planned boundaries instead of random ones, and planned switches are the cheap kind. What a timer does not do is close the loop. If the bell rings and you walk away mid thought, you take the residue with you into the break and back out of it. Add the one minute note at the end of each interval and the technique works far better.
What if my job is nothing but interruptions?+
Then optimize for cheap re-entry rather than long focus. Keep every task in a state you can resume from a written line rather than from memory, make your capture step fast enough to use while someone is still talking to you, and stop scheduling deep work into hours that were never going to hold it.
